1. Program description
Program's basic parts
The ALLWIN TREND program for telephone traffic evaluation has two basic functions:

the transfer of system working records from PBEX to Hard Disc |
- |
data processing of the individual evaluation (for central office line, extensions or groups of extensions), printing of accounts |
The transfer of system working records from PBEX to PC's Hard Disc proceeds on the background of the other work of your computer.
The transfer part of the program can be started from the START file of your PC - in this case the transfer will be started every time your computer is switched on. The transfer of records can also be started from the basic offer of the ALLWIN TREND program - this procedure is recommended for example for PBX with internal or external buffers.
2. Program installation
2.1. Equipment requirements
Use the ALLWIN TREND program on a personal computer which has at least the following parameters:

2.2. Program installation
1. Run the SETUP.EXE program on the installation floppy disk.
2. On the display you will see the basic installation offer:

3. After fulfilling all the requirements of the installation program the program itsetf will instal the ALLWIN TREND files (ALLWIN.EXE and ALL.COM) in which the transfer as well as the evaluating part of the program are included. In the ALLWIN TREND file the basic configuration parameters are also hidden (e.g. telephone directories with the rates calculated for the location of installation... ). Other lists are made by the user himself during the utilization of the program (names of branches, numbers of external (state) lines, names of actual stations ...). These user directories are automatically stored in the file ALLxxx;CFG. (xxx is number of version)

When the program is being installed, selected data (name of user, location, installation) will permanently be stored in the installation floppy disk. |

Select the name of the final user carefully because it will be used for making out invoices. |
4. Decide if you want to run the transfer part of the program from the START file of the computer. In the case that you do, modify the START file thus:

If you want to run only the transfer part of the ALLWIN TREND program you need only give one of the parameters transmission speed / series port:
(e.g. - ALLWIN 9600 or ALLWIN COM2)
The transfer part of the program will use the other parameters (length of word, parity, stop bit) from the setting in the offer "Configuration" of the basic part of the ALLWIN TREND program. |
2.3. Program configuration
For error-free functioning it is first necessary to introduce the right configuration of the ALLWIN TREND program after installation. The whole configuration is performed in the "Configuration" offer.
2.3.1 Transmission parameters
It is first necessary to set the transmission parameters:

The selection of the communication port (COM1, C0M2...) according to which linking cable between the exchange and your PC the series interface of your computer is linked. |

Setting the transmission speed, the number of data bits and stop bits and the parity in accordance with the setting of the same parameters of your branch exchange. |
- |
Select and store the directory including the complete path) for storing new and archive data concerning telephone calls. |
2.3.2 Branches, external lines
In accordance with a concrete branch exchange install the branches and external lines into the program.
While individual exchanges are being installed you can give their parameters:
branch, name, room, belongs to group, additional charge
When installing outside lines it is possible to give their parameters simultaneously:
line, telephone number, mask*, pulses, user, price per pulse
* mask - only if your PBX is connected to the other PBX extensions
2.3.3 Setting the pseudo-rating parameters
This setting gives sense only if pulses, that are transmitted by the user of the telephone network, are not received by a certain external line of your branch exchange.

Set the period for strong traffic. In relation to it the weak traffic period will be set automatically. In the period of weak traffic in the local as well as intertown communication pulses will be transmitted with a period twice as long as in the strong traffic period. This is perfectly simulated by the ALLWIN TREND program. The weak traffic period is also automatically alloted to free days (Sat, Su and holidays). |

Set the time period for one pulse during a local call. For some external lines the time of local calls is also calculated according to their duration (e.g. Prague at the time of strong traffic 1 pulse for 2 minutes, in the time of weak traffic 1 pulse for 4 minutes. For lines without pulses receivers again there is a perfect simulations) ALLWIN TREND. |

Set the time of individual corrections (the time by which the record of the call will be decreased in the case that a certain external line does not receive call impulses - the average time of dialling a telephone number, time the telephone rings ...) again there is an ALLWIN TREND simulation for the case that the line does not receive 16 kHz impulses. |
The corrections can be set separately for local, interurban and international calls. This is, of course, a returnable procedure so that the evaluation can be performed and printed for optionally set corrections.
In connection with the possibility of setting corrections in the program it is necessary to set the correction of your branch telephone exchange to zero (if your branch exchange has it).
2.3.4 Telephone directories
Interurban and international directories
In these directories the direction codes of towns and countries are given according to which the ALLWIN TREND program allots the names of localities to the numbers that are dialled.

2.3.5 Data for accounts and making out invoices
If you wish to print invoices for individual branch users or groups, in the offer "Data for accounts and invoices" fill in the name and address of the firm issuing the invoice (as the basis for the name the program utilizes the license name given during installation), identification number and tax identification number, bank connection, constant symbol for payments, payer of VAT Y/N, VAT%.
Note:
Data concerning consumers are given in the offer "Evaluation" when the invoices are being printed.
2.3.6 Access passwords
If you wish to protect the data with which the ALLWIN TREND program works against unauthorised misuse, set a password for access into the "Evaluation" mode, perhaps the "Configuration" mode, too.
3. Procedure during evaluation
3. 1. Starting the program
3.1.1 Starting the user environment
The user environment of the ALLWIN TREND program is started by press the ikon ALLWIN TREND in Windows or giving the statement "ALLWIN.EXE" in the DOS statement line and pressing the ENTER key. If new data from the branch exchange (file DATA.NEW) are found in the given directory, these data will be stored in the archive immediately after starting the evaluation of the program. From the evaluation superstructure of the program it is also possible to start the part for transmitting data from the exchange into the PC and storing them in the DATA.WRK file, so that recording new data from the exchange can proceed simultaneously with the archivation. During archivation it is also possible to perform all evaluations, the evaluation is, however, slowened by the archivation. It is therefore advisable to let the archivation run through completely before performing the evaluation. The data that are archived are moreover also copied to the DATA.OLD file.
The files that have been archived have the date of the samples it contains in its name (e.g. ALL9509 contains samples from September 1995). The extension of archive files has the size "a" for the first 1 MB, size "b" for the second etc. So a simple way of permanent filing archive data on floppy disks is ensured.
3.1.2 Starting the transfer part
The part of the program ALLWIN TREND for transfering and storing data can be started from the user environment of the ALLWIN TREND program by simply pressing a key.
If you only wish to activate the transfer part of the program you can state the statement "ALLWIN", then a space and one of the parameters speed/port for the series transfer on the statement line (in the directory where the ALLWIN TREND program has been installed) and press the ENTER key.
An example of starting the transfer part of the program:

- the transfer part of the program will be started with the parameters set in the configuration but with the transfer speed of 9600 Bd.
If you wish to activate the residential program for the transmission and storing of data whenever you switch on your computer, give the statement for starting the transfer part in the START file of your PC.
3.2. Evaluation of the telephone operation
3.2.1 Evaluation of the operation on central office (state) lines
This type of evaluation namely serves for comparing the accounts from the operator of the CO (state) lines with the state that has been recorded by your branch exchange. When operation is being evaluated for outside (state) lines the ALLWIN TREND program uses the prices per pulse set in the offer "Configuration - external lines". The price of a call can be calcutated from the number of impulses transmitted by the operator of the state line (if the exchange receives call impulses) or calculated by the ALLWIN TREND program (in the pseudo-tariffication mode).
Procedure during evaluation

3.2.2 Evaluation of operation in branches
This type of evaluation serves namely for calculating the costs for the telephone calls of individual branches. During the evaluation of the operation in the branches the ALLWIN TREND program uses the prices set in the offer "Configuration - External lines" and to them adds the appropriate additional charge (if it has been set). The additional charge is added to each impulse by the operator of the external line (if the exchange received call impulses)

If you wish to obtain an identical final sum for the selected period for branches and state lines set the item "Additional cost" equal to zero for all branches in the offer "Configuration - Branches".
If you also want to evaluate the newest data concerning telephone connections check if, when starting the data transmission, the archivation of the stored current calls e.g. in the exchange buffers, is not taking place.
3.2.3 The functions of filtering and keeping secret
For all types of evaluation it is possible to activate the "Filtering" and "Keep secret" functions.
The "Filtering" function activates the selection of the kinds of records,
concerning calls (it prevents mapping, accounting and printing calls that are not selected).
If any of the important parameters of the filtering is activated, after pressing the key "Evaluation" you will be offered an ikon with filters:

During current evaluation when no important parameters are activated, after pressing the key "Evaluation" the offer of individual filters will not appear at all.
The "Keep secret" function will allow the mapping of only part of the dialled number in all reports so that the caller will remainin anonymity. In the
reports in such a case only the dialled code figures will be mapped so that it be possible to determine the locality called and give it the corresponding price.
3.3. Printing reports, bills and invoices
Typing the performed evaluations can be done on the display, into a file or on the printer. Before printing on the printer you can illustrate the report on the display in exactly the same form in which it will be printed - "black on white".
3.3.1 Printing sorted records
After pressing the key "Print records" you can print all records which fulfil the given parameters in the given type of sorting.
3.3.2 Printing bills
For the option "Bills of individual lines / branches" the parameters of selected external lines - or branches will be printed, including the selected period of time for which the accounting is being performed and the final sum for all calls which fulfil the selected parameters, on a special bill for each line / branch.
During the option "aggregative bill" the data concerning all selected lines or branches will be printed including the prices and VAT on a single bill.
For the option "... with a specification of calls" in addition to the previous data the data concerning all calls that fulfil the given parameters will be printed. The individual bills, aggregative accounts (perhaps with a specification of the calls) can also be printed as supplements when invoices are printed.
3.3.3 Printing invoices
For individual groups of branches it is possible to create a database of customers which will remain stored permanently in the program. For each group the name, address, Ident.No. and Tax number of the customer can be given.
The same data can be filled when the invoices are being printed in the evaluation mode of individual branches. In this case it is however necessary to give these data again (the program remembers only the last given data concerning a customer) when a customer changes. If you wish to print invoices regularly for some individual branches, form a new group for each such branch. So it will be possible to keep the data of customers for repeated evaluations.

When invoices are printed it is possible to add a jump amount to the price of calls e.g. as a compensation for using the exchange. |
TYPING INTO A FlLE
All reports, bills and invoices can also be typed into a file. When they are exported to a file, the file must be given a name. When you need to obtain this file for other correction in databaze or spredsheet, name of the file must be xxxxxxx.dbf.
3.3.4 Queue for printing
When selecting "Print on printer" the data meant for printing are ordered into a Windows print queue. If the printer is online the printing takes place on the background of the ALLWIN TREND program so that the user need not, before continuing work with the program, wait for the printing to be completed (so it is possible to utilize time e.g. for treating a larger amount of evaluations..).
After concluding the activity of the ALLWIN TREND program, printing data from the queue are printed.
3.4. Preliminary calculation
The offer Evaluation contains the possibility to find out in advance the price of a certain telephone call at any place of the state or in the World. First give the number that you will be calling {the program will add the name of the locality), then the presumed space of time of the call. When the time period is being given the program will automatically calculate the price of the call with the given parameters.
4. Operation in a hotel
4.1. Description of "Operation in a hotel" mode
The ALLWIN TREND program for evaluating the price of telephone calls of branch telephone exchanges is extended by a so called hotel mode (from version 10.08). In this mode it is only possible to work with branches which are defined in the "Configuration of branches" as hotel rooms.
In a simple way the date and time of arrival of individual guests, name of travel agency or names of individual guests can be given.
During the guest's departure bills can be printed for individual rooms or an overall bill for a group of rooms (e.g. a tour).
The program ALLWIN TREND stores the given times of arrival of guests on the hard disk of your computer. It is therefore not necessary to find out these data from the guest book on their departure.
Evaluation in the "Operation in a hotel" mode does not depend on the standard accounting mode, the calculation of a room can also be evaluated again together with other branches (e.g. for comparing with the account of the operator of the uniform telephone network).
4.2. Giving the arrival and departure of guests, printing bills .
You can enter the hotel mode of calculating the payment for telephone calls by pressing the key "Operation in a hotel" in the main offer of the ALLWIN TREND program.
For more simple orientation (namely in larger hotels) select "Free rooms" in the "List of rooms" if you wish to give the arrival of guestsi or "Occupied rooms" (if you want to prepare the bill for a telephone call of a certain room onto make a room vacant).
4.2.1. The arrival of guests

After pressing the "Enter" key (acknowledging the choice) you can give the name and time of arrival of the guest. If you are handling a larger number of guests simultaneously it is possible to ackowledge the arrival of a guest without giving his name and giving the time the computer offers (according to the time in your computer). The time and name can be edited later. |

Editing the name and time of arrival of a guest later can be performed in the "Occupied rooms" or "All rooms" mode. By the "Insert" key denote the room for which you want to correct the data (name of guest, date and time of arrival). After pressing the "Enter" key you can choose between "Modification of data" and "Making out bill and vacating room". Select the modification of data and correct the date on which the room was occupied or modify (fill in) the guest's name. Acknowledge the change by pressing the key "Store changes". |

When there is a large frequency of arriving guests you can utilize to an advantage the possibility of occupying rooms subsequently, e.g. in the evening hours when it is relatively quiet at the reception desk. In this case you proceed according to points 1.-3.. However notice carefully if the ALLWIN TREND program offers you the precise time given by your computer. In such a case it is therefore necessary to modify the time according to the guest book. |
4.2.2 Guests' Departure

4.2.3 Calculation of "intermediate bill"
If your guest needs to know the state of his bill for telephone calls, select the actual occupied room by the "Insert" key and press "Calculation". At the end of the line for the given room the current state of the account for the room will be calculated (without the possibility of typing the bill - that will be typed when the guest is departing).

Occupying and vacating rooms can also be performed when mapping "All rooms" in the list of rooms. If you first denote a free room in this case, you cannot denote an occupied room during the same operation and vice versa. |
